What is the AI Voice Assistant?

The AI Voice Assistant gives your business a dedicated phone number that customers can call 24/7. When they call, an AI assistant answers and can:

  • Answer questions about your business and services
  • Provide price estimates based on your service catalog
  • Schedule appointments on your calendar
  • Capture caller contact information as new leads

Setting Up Your Phone Number

To get started, you need to provision a dedicated phone number for your AI assistant.

  1. Go to Settings and click the AI Assistant tab.
  2. Enter a 3-digit area code (e.g. 415) and click Search Numbers.
  3. Choose a phone number from the available options and click Select.
  4. Your number is now provisioned. Toggle the Enable AI Assistant switch to activate it.

Tip: Choose an area code local to your service area so customers see a familiar number.

Configuring the Knowledge Base

The knowledge base tells your AI assistant about your business. The more information you add, the better it can answer customer questions.

  1. Go to Settings > AI Assistant.
  2. In the Knowledge Base section, enter information about your business.
  3. Include details like business hours, service areas, policies, frequently asked questions, and anything else customers commonly ask about.
  4. Click Save Knowledge Base.

Tip: The AI also uses your Service Templates for pricing. Make sure your services and prices are up to date in the Catalog.

Customizing the Greeting and Voice

Personalize how your AI assistant greets callers and which voice it uses.

  1. Go to Settings > AI Assistant.
  2. In the Greeting & Voice section, enter a custom greeting message. Leave it blank to use the default.
  3. Select a voice from the dropdown (Alloy, Echo, Fable, Onyx, Nova, or Shimmer).
  4. Click Save Settings.

How Calls Create Leads

Every incoming call is automatically tracked for follow-up.

  • If the caller's phone number matches an existing customer, the call is logged to their record.
  • If the number is new, a new lead is automatically created in your Customers list.
  • When the caller provides their name or email during the call, the AI saves it to their customer record.
  • Each call appears as a contact attempt so you can see a history of all inbound calls.

Releasing Your Phone Number

If you no longer need the AI assistant phone number, you can release it.

  1. Go to Settings > AI Assistant.
  2. Click the Release Number button next to your active phone number.
  3. Confirm the release. The number will be deactivated and the AI assistant will be disabled.

Note: Releasing a number is permanent. If you want the same number back later, it may not be available.
