Jobs & Job Board

Creating Jobs

Jobs represent the actual work being done for a customer. Every job is created from the Jobs board; you can link it to an estimate as you go. (Contracts are also supported for legacy workflows.)

  1. Click Jobs board in the sidebar, then click New job.
  2. Give the job a title and select the customer. The job has no address field of its own — the site address is the one on that customer's record.
  3. Optionally pick a Linked estimate so the job and the quote stay connected.
  4. Set the start and due dates, and choose a status.
  5. Assign one or more employees to the job, and add crew notes or internal notes.
  6. Click Save job.

From an estimate: Accepting an estimate does not create a job, and there is no one-click convert. Create the job as above and choose the estimate in the Linked estimate field.

From contracts (legacy): If you still use contracts, a signed contract shows Create job once its deposit invoice has been sent; the job links to the contract, the estimate and the customer, and the estimate's line items are copied onto it.

Standalone: Create a job directly for quick or informal work that does not need an estimate or contract.

Job Statuses

Track where each job stands using statuses. The job board organizes jobs by status so you can see your pipeline at a glance.

Scheduled: The job has been created and assigned but work has not started yet. It appears on your schedule for the assigned date.

In progress: Work is actively underway. Move jobs here when your crew arrives on-site or begins the task.

Completed: The work is finished. Completed jobs can be invoiced and their photos shared with the customer.

Tip: Keep job statuses current. It helps your office staff know when to send invoices and gives customers accurate updates if they ask about progress.

Assigning Employees

Assign team members to jobs so they know where to be and what to do. Assigned employees can see the job on their dashboard and receive notifications about changes.

Multiple employees: You can assign as many team members as needed to a single job. Each one sees the job on their personal schedule.

Changing assignments: Add or remove employees at any time from the job detail page. The schedule updates automatically.

Photos, Checklists & Notes

Document your work and stay organized with built-in tools on every job.

Photos: Upload before, during, and after photos to document the work. Photos are tagged by stage so you can show the transformation to customers. Employees can upload photos directly from their phone.

Viewing a photo: Click any photo thumbnail on the job page to open it full size. Tall phone photos are scaled to fit your screen, so you see the whole shot rather than the top of it. Use Open full size to view the original in its own tab when you need to zoom right in, and press Esc or click outside the photo to close it.

Removing a photo: Owners and admins see a Remove link beside each photo for a blurry shot or one taken at the wrong property. It cannot be undone, and employees cannot remove photos — site photos are your record of the work.

Checklists: Add task checklists to a job to make sure nothing gets missed. Team members check off items as they complete them. Great for multi-step jobs or quality control.

Notes: Add internal notes visible only to your team. Use these for site access instructions, material delivery notes, or special customer requests.

Expenses & Sharing Photos

Track job expenses and share completed work with customers to build trust and showcase quality.

Expenses: Log expenses incurred during the job, such as additional materials purchased on-site or rental equipment. Each expense includes a description, amount, and optional receipt photo. Expenses are tracked per job for accurate profitability reporting.

Sharing photos with customers: From the job detail page, click Share photos to send a curated selection of before-and-after photos to the customer via email. This is a great way to demonstrate value and encourage referrals.

Tip: Send before-and-after photos to the customer right after completing a job. It reinforces the value of your work and often leads to positive reviews and referrals.

Removing a Job from the Schedule vs Deleting It

These are two different things, and only one of them is permanent.

Remove from schedule: Takes the job off the calendar and clears its dates. The job stays in your jobs list, with its photos, notes, checklist and customer, ready to schedule again for another day. Use this whenever you want to move a job to a different time. The button is on the job page whenever the job has a date.

Remove one time block: On the Schedule calendar, open a slot and choose Remove from schedule to clear just that block — useful for a multi-day job where only one day moves. The job is kept.

Delete job: Permanently removes the job and everything on it — photos, notes, checklist and expenses. It cannot be undone. A job with an invoice attached cannot be deleted at all; deal with the invoice first.

Tip: To reschedule, use Remove from schedule (or just drag the job to another day on the board) — never Delete job. Delete is only for a duplicate or a job that was entered by mistake.
