Messages
Internal Team Messaging
Use Messages to communicate with your team without leaving ServeHub. Internal messages stay between team members and are never visible to customers.
- Open the sidebar and click Messages.
- Click New message and select a team member.
- Type your message and click Send.
Real-time updates: Messages appear instantly without needing to refresh the page.
Notifications: Team members receive a notification when they have unread messages.
Customer Conversations
Send messages directly to customers through ServeHub. This keeps all communication in one place alongside their jobs, invoices, and contracts.
- Go to Messages and click New message.
- Search for and select a customer.
- Type your message and send it. The customer will receive a notification to view it.
Customer replies: When a customer replies through the portal, their message appears in your Messages inbox.
Context: Customer messages are linked to their profile, so you can quickly jump to their jobs, invoices, or other records from the conversation.
Tip: Use customer messages for scheduling updates, job progress photos, or follow-ups. Having everything in one place makes it easy to reference later.
Message Threads
All messages are organized into threads so conversations stay clean and easy to follow.
Thread list: Your Messages inbox shows all active threads with the most recent message previewed. Unread threads are highlighted.
Search: Use the search bar at the top of Messages to find conversations by name, keyword, or date.
Attachments: You can attach photos, documents, and files to any message. These are stored alongside the conversation for easy reference.
Messages in the Customer Portal
Customers who have portal access can view and reply to messages from their side of the portal.
Portal inbox: Customers see a Messages section in their portal where all conversations with your business are listed.
Replies: Customers can reply directly from the portal. Their responses appear in your Messages inbox in real time.
Privacy: Customers only see messages sent directly to them. They cannot view internal team messages or conversations with other customers.
Tip: Let customers know they can reach you through the portal. It gives them a convenient way to ask questions without needing to call or email.
