Creating Proposals from Estimates
A proposal is a polished, customer-facing document built from an estimate. While estimates focus on cost breakdowns, proposals present your work in a professional format with titles, descriptions, timelines, and visuals.
- Open an estimate and click Create proposal.
- ServeHub generates a proposal linked to the estimate's pricing and customer details.
- Review and edit the proposal content, or use AI to generate it (see below).
- Click Save.
AI-Generated Content
ServeHub can use AI to write professional proposal content based on your estimate details. This saves time and helps you present your work in a compelling way.
What AI generates: Title, project description, scope of work, and estimated timeline. The content is tailored to the specific services and materials in your estimate.
How to use it: On the proposal edit page, click Generate with AI. The AI will produce content based on your estimate's line items, customer information, and service type.
Editing: AI-generated content is fully editable. Review it, adjust the tone or details, and make it your own before sending.
Tip: The more detailed your estimate line items are, the better the AI-generated proposal content will be. Use descriptive names for materials and services.
AI Image Generation
Add AI-generated images to your proposals to help customers visualize the finished project. You can provide custom instructions to guide the image style and content.
- On the proposal edit page, click Generate image.
- Optionally enter custom instructions describing what you want the image to show (e.g., "modern patio with stone pavers and outdoor lighting at dusk").
- Click Generate and wait for the image to be created.
- Preview the result. If you are not satisfied, generate again with different instructions.
Default behavior: If you do not provide custom instructions, the AI generates an image based on the proposal's title and description.
Best results: Be specific about the style, materials, and setting you want depicted. Mention the type of property (residential, commercial) and any distinctive features.
Delivering Proposals
Send proposals to customers via email. The customer receives a link to a professional public proposal page where they can review the project details and pricing.
- Open the proposal and click Deliver.
- Add an optional personal message to include in the email.
- Click Send.
Public proposal link: Each proposal has a unique public URL. The customer can view the proposal, see the AI-generated image and content, and take action without logging in.
Accept or decline: The customer can accept or decline the proposal directly from the public link. You are notified immediately when they respond.
Follow-Up Emails
If a customer has not responded to your proposal, use the follow-up feature to send a reminder. ServeHub can generate a personalized follow-up message using AI.
- Open a delivered proposal that has not been accepted or declined.
- Click Send follow-up.
- ServeHub generates a follow-up email referencing the proposal details and timeline.
- Review and edit the message, then click Send.
Tip: Follow up within 3 to 5 days of sending a proposal. Customers who are interested but busy often just need a gentle nudge to make a decision.
AI Upsell Recommendations
When you send a proposal, ServeHub uses AI to recommend complementary add-on services from your service catalog. These recommendations appear on the customer's proposal page, helping increase your average job value.
How it works: When a proposal is sent, AI analyzes the estimate's services and picks 2-4 add-ons from your active service templates that complement the current job. Each recommendation includes a reason and suggested price.
What customers see: A "You might also be interested in" section on the public proposal page with service cards. Customers can click Add to estimate to include a service, which updates the proposal total automatically.
Tracking: On the proposal detail page, you can see which upsells were recommended and which ones the customer added. Added upsells appear as new sections in the estimate.
Tip: The more active service templates you have, the better recommendations the AI can make. Add all the services your business offers to get the most out of upsells.
