Schedule & Calendar

Calendar View

The schedule gives you a visual overview of all your upcoming jobs and appointments. Switch between views to plan at different levels of detail.

Week view: See each day of the week with time slots. Best for day-to-day planning and spotting scheduling conflicts.

Month view: A high-level overview of the entire month. Useful for spotting busy periods and planning ahead.

One calendar for the whole business: Those two views, plus back, forward and today, are the whole toolbar. There is no employee filter and no one-person view — the calendar always shows every scheduled slot in the business at once, and each block is labelled with the job's title, not with who is on it. To see the crew for a block, click it: the Assigned employees list in the slot editor is where the assignment lives.

Creating Schedule Slots

Schedule slots define when a job is happening and who is working on it. Create slots to block out time on the calendar for specific jobs.

  1. Click Schedule in the sidebar.
  2. Drag across the day and time you want on the calendar. Dragging out the block is how a slot is started — there is no Add slot button.
  3. Select the job to schedule.
  4. Set the date, start time, and end time.
  5. Click Save.

Tip: You can create multiple schedule slots for the same job if the work spans several days. Each slot appears on the calendar independently.

Assigning Multiple Employees

Assign more than one team member to a schedule slot when a job requires a full crew. The Schedule calendar itself is an owner-and-admin screen — employees are sent back to the job board if they open it — so a crew member reads the slot off the job, or off the my-schedule view in the ServeHub mobile app.

Adding employees: When creating or editing a schedule slot, select all the team members who will be on-site. There is no limit to how many you can assign. Leave the list empty and the slot uses whoever is assigned to the job.

Double-booking is blocked, not flagged: If anyone on the slot already has an overlapping slot on another job, ServeHub refuses to save. You get the error Schedule conflicts with another job for an assigned employee, and nothing is created or moved — there is no indicator to acknowledge and no way to assign them anyway. Change the time, or take the already-booked person off this slot, and save again.

Drag-and-Drop Rescheduling

Rearrange your schedule quickly by dragging jobs to a new date or time. This is the fastest way to adjust your plan when things change.

Moving a slot: Click and hold a schedule slot, then drag it to a new day or time. The slot saves as soon as you drop it. If the new time double-books someone assigned to it, the same conflict rule applies — the save is refused and the block snaps back to where it was.

Resizing a slot: Drag the bottom edge of a slot to extend or shorten it. This adjusts the end time without changing the start.

Tip: Drag-and-drop works best in week view where you can see the time slots clearly. Use month view for moving jobs between weeks.

Weather Forecast

ServeHub shows a weather forecast on your schedule so you can plan around bad weather. It is one forecast, for your business address, shown across the whole calendar.

How it works: ServeHub looks up the coordinates of the Address in your Business settings and fetches a single forecast for that spot. Every day on the calendar shows that same forecast. Jobs do not carry an address of their own, so there is no per-job or per-customer weather — read it as the weather at your base, not at the site.

No business address, no forecast: If the Address field in Business settings is empty, the weather strip stays blank. Fill it in to turn the forecast on.

What you see: A high and a low temperature and a conditions icon on each of the next 7 day headers, with the hourly conditions shaded behind the week view. Beyond 7 days the calendar shows the schedule with no weather.

Temperature units: Forecasts display in Celsius or Fahrenheit based on your temperature preference in Business Settings.

Tip: Check the forecast when scheduling outdoor jobs. If rain is expected, consider rescheduling by dragging the slot to a clear day. If a job is well outside your own town, check that town's forecast yourself — ServeHub only knows the weather where your business address is.

Taking a Job Off the Schedule

Removing a job from your schedule never deletes the job. It stays in your jobs list so you can put it back on the calendar another day.

From the calendar: Click the slot, then Remove from schedule. That time block disappears; the job does not.

From the job page: Click Remove from schedule to clear every date and time block on the job at once.

From the job board: Drag the job card into the Unscheduled column, or straight onto a different day if you already know when it should go.

Putting it back: An unscheduled job stays in the jobs list and in the Unscheduled column. Drag it onto a day, or add a new time slot from the calendar, whenever you are ready.

Tip: Delete job, on the job page, is a different button and it is permanent — it removes the job with its photos, notes and checklist. To reschedule, always use Remove from schedule.
