Adding Customers
Every estimate, proposal, contract, and job in ServeHub is linked to a customer record. You can add customers manually or they are created automatically when someone submits a request through your estimate widget or website.
- Click Customers in the sidebar.
- Click Add customer.
- Enter the customer's name, email, phone number, and address.
- Click Save. The customer is now available when creating estimates, jobs, and contracts.
Customer Statuses
ServeHub tracks where each customer is in your sales pipeline using statuses. This helps you prioritize follow-ups and measure conversion.
Lead: A new contact who has shown interest but has not received an estimate yet. Leads created from your website or estimate widget start here automatically.
Prospect: A customer who has received an estimate or proposal but has not yet accepted. Move customers here once you have sent them pricing.
Active: A customer with accepted work, an active job, or a signed contract. These are your current paying customers.
Tip: Use the status filter on the Customers page to quickly see all your leads that need follow-up.
AI Lead Scoring
ServeHub can automatically score your leads to help you focus on the ones most likely to convert. Lead scores are calculated based on the customer's engagement, project size, and responsiveness.
How it works: When a new lead comes in, ServeHub analyzes the available information (service requested, property details, message content) and assigns a score from 0 to 100.
High-scoring leads (70+): These have strong buying signals. Prioritize reaching out quickly.
Medium-scoring leads (40-69): Worth following up within a day or two.
Low-scoring leads (below 40): May need nurturing over time before they are ready to commit.
Customer Messages & Contact Details
Each customer record stores all their contact information and messages in one place. You can email or text customers directly from their profile.
Contact details: Store email, phone, and one or more addresses per customer. The primary address is used as the default job site location.
Messages: View all emails and SMS messages sent to and received from a customer, including estimate deliveries, proposal links, and contract signing requests.
Notes: Add internal notes to a customer record that only your team can see. Use these to track preferences, gate codes, or special instructions.
Customer History
View a complete timeline of everything related to a customer from their profile page.
Estimates: All estimates sent to this customer with their current status (draft, sent, accepted, declined).
Proposals & contracts: Every proposal and contract linked to this customer.
Jobs: Past and current jobs including status, assigned crew, and photos.
Invoices: All invoices with payment status, making it easy to spot outstanding balances.
Tip: Click any item in the customer history to jump directly to that estimate, job, or invoice.
