Adding Customers

Every estimate, proposal, contract, and job in ServeHub is linked to a customer record. You can add customers manually or they are created automatically when someone submits a request through your estimate widget or website.

  1. Click Customers in the sidebar.
  2. Click Add customer.
  3. Enter the customer's name, email, phone number, and address.
  4. Click Save. The customer is now available when creating estimates, jobs, and contracts.

Customer Statuses

ServeHub tracks where each customer is in your sales pipeline using statuses. This helps you prioritize follow-ups and measure conversion.

Lead: A new contact who has shown interest but has not received an estimate yet. Leads created from your website or estimate widget start here automatically.

Prospect: A customer who has received an estimate or proposal but has not yet accepted. Move customers here once you have sent them pricing.

Active: A customer with accepted work, an active job, or a signed contract. These are your current paying customers.

Tip: There is no status filter on the Customers page. To bring your leads together, click the Status column header to sort by it — leads group at one end of the list. The search box beside it is for finding one person, and it matches name, email and phone only, not status.

AI Lead Scoring

ServeHub can score the leads that come in through your estimate widget, to help you focus on the ones most likely to convert.

How it works: When someone requests an estimate through your widget, ServeHub reads what they submitted — the estimate value, how complete their contact details are, which services they picked, and any notes they left — and assigns a score from 0 to 100 with a short explanation. Customers you add by hand are not scored.

High-scoring leads (70+): These have strong buying signals. Prioritize reaching out quickly.

Medium-scoring leads (40-69): Worth following up within a day or two.

Low-scoring leads (below 40): May need nurturing over time before they are ready to commit.

Contact Details & Notes

A customer record holds their contact details and your internal notes.

Contact details: Store one email address, one phone number, and one address per customer. That address is the job site location — jobs do not carry an address of their own, so a customer with a second site is added as a second customer record.

Notes: Add internal notes to a customer record that only your team can see. Use these to track preferences, gate codes, or special instructions.

There is no message thread on this page: The customer's record shows details, notes and history — no conversation, and no link into one. Customer conversations live in Messages in the sidebar, and you cannot open one from here or anywhere else: a thread appears only after the customer writes to you from their portal. Reaching a customer first: Send the estimate, the proposal or the invoice — each goes out by email from its own record — or call the number on the record. SMS from ServeHub is outbound only; customers cannot reply by text.

Customer History

The customer's profile page gathers the work tied to that customer.

Estimates: The customer's most recent estimates with their current status (draft, sent, accepted, declined).

Contracts: Every contract linked to this customer, with its status, signing date, and the estimate it came from.

Subscriptions: Any recurring plans for this customer, with the amount, frequency, and status.

Calls: Recent phone contact logged for this customer, with a transcript where one was captured.

Jobs and invoices are not listed on the profile — open those from the Jobs and Invoices pages in the sidebar.

Tip: Click any estimate, contract, or subscription on the profile to jump straight to it.
