Schedule & Calendar
Calendar View
The schedule gives you a visual overview of all your upcoming jobs and appointments. Switch between views to plan at different levels of detail.
Week view: See each day of the week with time slots. Best for day-to-day planning and spotting scheduling conflicts.
Month view: A high-level overview of the entire month. Useful for spotting busy periods and planning ahead.
Filtering by employee: Use the employee filter to see one person's schedule at a time, or view everyone's schedule overlaid to check availability.
Creating Schedule Slots
Schedule slots define when a job is happening and who is working on it. Create slots to block out time on the calendar for specific jobs.
- Click Schedule in the sidebar.
- Click on a date or time slot on the calendar, or click Add slot.
- Select the job to schedule.
- Set the date, start time, and end time.
- Click Save.
Tip: You can create multiple schedule slots for the same job if the work spans several days. Each slot appears on the calendar independently.
Assigning Multiple Employees
Assign more than one team member to a schedule slot when a job requires a full crew. Each assigned employee sees the slot on their personal schedule.
Adding employees: When creating or editing a schedule slot, select all the team members who will be on-site. There is no limit to how many you can assign.
Availability check: If a team member already has a slot at the same time, the calendar will show a conflict indicator. You can still assign them, but the overlap is flagged so you can adjust if needed.
Drag-and-Drop Rescheduling
Rearrange your schedule quickly by dragging jobs to a new date or time. This is the fastest way to adjust your plan when things change.
Moving a slot: Click and hold a schedule slot, then drag it to a new day or time. The slot updates immediately and assigned employees see the change on their schedule.
Resizing a slot: Drag the bottom edge of a slot to extend or shorten it. This adjusts the end time without changing the start.
Tip: Drag-and-drop works best in week view where you can see the time slots clearly. Use month view for moving jobs between weeks.
Weather Forecast Integration
ServeHub shows weather forecasts directly on your schedule so you can plan around bad weather. Forecasts are based on the job site location, not your office.
How it works: For each scheduled job that has a job site address, ServeHub fetches the weather forecast for that specific location. You see temperature, conditions, and precipitation probability right on the calendar.
Forecast range: Weather data is available for the next 7 days. Beyond that, the calendar shows the schedule without weather information.
Temperature units: Forecasts display in Celsius or Fahrenheit based on your temperature preference in Business Settings.
Tip: Check the forecast when scheduling outdoor jobs. If rain is expected, consider rescheduling by dragging the slot to a clear day rather than risking delays on-site.
