Team Members & Roles

Inviting Team Members

Add employees and office staff to your ServeHub account so they can sign in, get assigned to jobs, and appear on your schedule. An invite on the web is a link you send them yourself — ServeHub does not email it for you.

  1. Go to Business settings and open the Team tab.
  2. Under Invite teammates, enter their email address and pick a role — Business admin or Employee. There is no name field; they enter their own name when they sign up.
  3. Click Send invite. Despite the label, nothing is emailed. The invite appears below under Pending invites with its join link.
  4. Click Copy link and send that link to them yourself — by email, text, or however you normally reach them. Opening it takes them to signup, already attached to your business and role.

Tip: An unaccepted invite stays in Pending invites until it is used — it does not expire, and it does not show up as a badge on the team list. There is no resend button, and you do not need one: the link in that row is still live, so copy it and send it again. If you would rather kill it, click Revoke; inviting the same address afterwards creates a fresh link, and the old one stops working.

Roles & Permissions

Each team member is assigned a role that controls what they can see and do in ServeHub. Choose the role that matches their responsibilities.

Owner: Full access to everything, including the plan and subscription. There is one owner per account. There is no delete-my-account button anywhere in ServeHub — the strongest thing available is cancelling the plan from Billing & plan, which ends the subscription and leaves the data in place.

Admin: Full access to customers, estimates, proposals, contracts, jobs, invoices, and team management. Billing is not blocked by role, but it is tied to the person who signed the business up — Billing & plan reads that person's subscription, so an admin who opens it simply finds nothing of their own to manage.

Employee: Can view assigned jobs, update job status, upload photos, add notes, and log expenses. Their sidebar is the job board and nothing else — no customers, estimates, proposals or invoices. Business settings is the exception: an employee who has the link can open it, minus the Team, Payments and Integrations tabs. Treat the employee role as a narrower view, not a lock.

What Each Role Can Access

A quick reference for what is available to each role in the sidebar and dashboard.

Dashboard & overview: Owner, Admin, Employee (employees see only their assigned jobs).

Customers & CRM: Owner, Admin.

Estimates, proposals, contracts: Owner, Admin.

Jobs: Owner, Admin, Employee.

Schedule calendar: Owner, Admin. An employee who opens it is sent back to the job board.

Invoices & payments: Owner, Admin.

Catalog & pricing: Owner, Admin.

Business settings: Owner, Admin — and an employee with the link, who gets every tab except Team, Payments and Integrations.

Billing & plan: Not a Business settings tab. It is in the account menu under your name, top right.

Changing Access When Someone Leaves

The web dashboard can change what a teammate's role is, but it cannot take them off the team. Be honest with yourself about that before you rely on it.

What the Team tab actually offers: Go to Business settingsTeam. Each teammate is one row: their name and email, a role dropdown set to Business admin or Employee, and an Update button. There is no menu icon and no remove control. The owner's row has no dropdown at all — the owner's role cannot be changed, and neither can your own.

Demoting is not removing: Setting someone to Employee is the strongest thing this screen does. It narrows them to the job board — no customers, estimates, invoices, or Team tab — but they can still sign in and see the jobs they are assigned to. If that is not good enough, this is not the tool.

Actually removing someone: The only remove-a-member call in ServeHub lives in the API behind the mobile app, not in the dashboard. If your app does not offer it, there is no self-serve way to do it — use Feedback in the sidebar and ask, rather than assuming a demotion has cut off access.

Their work stays either way: Job assignments, notes and photos belong to the job, not the person, so nothing you do here erases work history.

Tip: Reassign their upcoming jobs to someone else first — an unassigned job is easy to lose track of, and reassigning is something you can do entirely from the dashboard.
